Roles and Responsibilities
• To prepare the list of the units arriving from the port.
• To oversee the Sales Admin Officers, Clerks, Drivers, Car cleaners day to day activities..
• To create the new stocks on the stock lists according to the orders placed by Sales Admin with the suppliers.
• To inspect the units when they arrive, as to match if they are correct as per the ordered specification and colour.
• Preparing and update the daily Stock lists with the correct details such as chassis numbers, engine numbers and also ensuring the correct allocation of the unit/s to the customers according to the CRMs provided by Sales reps. Once received the LPO, payment or order confirmation, the letter has to be prepared and forwarded to the customer indicating the date of delivery.
• Making sure all the units are been forwarded to the Work Shop for the PDI (Pre-delivery Inspection) and later to ensure the PDI has been done before the final delivery takes place.
• Making sure to foward the normal costs to Workshop per unit, so as to facilitate them to carry on the work such as PDI, fitments of the Gear locks or any additional accessories. All this will be done with the order forms with the order numbers.
• Checking all the necessary papers, such as Exemption papers, duty assessment etc before proceeding.
• Payment of statutory taxes, preparing the final invoicing and follow up the registration of the unit/s.
• Communicating closely with the Clearing & Forwarding department to follow up on the unit/s for the exemptions and those for the duty assessments. Also to make sure to have the Release on time so as to be on time to register the unit and deliver it within 15 working days.
1. To make close follow up with CF department with the movements of the vessels.
2. If the unit is required to be imported or exported the necessary instructions have to be communicated with the CF department.
• Communicating closely with the overseas suppliers in absence of Commercial Manager.
• Update the Sales dept about any changes to the govt regulations.
• Assisting in preparing daily activities and the monthly reports.
• Reporting directly to Commercial Manager.
Educational Qualifications
• Bachelor Degree in Business Management and equivalent

• Compile, document and regularly share updated Program and Project information with key and relevant stakeholders on various platforms
• Conduct and support regular field visits to document project activities

• Provide support to draft Press Releases and prepare Media Kits and event/Media Reports as guided by Head of Communications and Advocacy

1.
