JOB DESCRIPTIONDesignation: Facilities Manager
Reporting to: Regional Facilities manager and Head of finance/operations(TZ)
PURPOSE OF THE ROLE
The Tanzania facilities manager will primarily be involved in the management of all the AKEST facilities which will include full responsibility for ensuring planned preventitive maintenance of all facilities, all buildings are safe and performing adequately, the buildings are clean and proper protocols are being followed, the security of the building is adequate and is being monitored and all systems and staff are in place for all aspects of maintaining the AKEST facilities to a very high standard. The AKEST FM may also, when required, be involved in the client project management of new construction projects (pre-design planning, design, construction). The person shall perform the role of a Client and primary coordinator between AKES, and external consultants for all construction projects.
KEY RESPONSIBILITIES
Primary Responsibilities (facilities maintenance)
- Oversee the upkeep and maintenance of all facilities under AKES T; conduct regular inspections, identify repairs needed and prepare a detailed yearly maintenance program for all the facilities; where needed, prepare a multi-year repair plan based on evaluations and inspections of the facilities
- Prepare annual, medium and long term facilities planning budget for upkeep and maintenance of the facilities and carry out the small repairs as needed
- Oversees all facets of the daily operations of the organizational units, ensuring compliance with the AKEST , and Government policies, and regulations.
- Develops or assists with the development and implementation of policies and procedures consistent with those of the organization to ensure efficient and safe operation of all the facilities.
- Oversees activities of contractors, vendor personnel, and suppliers; monitors contracts for compliance and controls costs; monitors general expenditures of facilities teams.
- Supervises personnel which typically include recommendations for recruitment, separation, performance evaluation, training, work allocation, and problem resolution.
- Play a key role in representing the AKES at external events and where appropriate organize and help plan functions or events at the facilities.
- Prepare and manage annual budgets in accordance to the expectations and guidance of AKES management and Board
- Prepare and present operational reports on a timely basis for the review and guidance AKES management and Board
- In accordance to manufacturer and supplier specifications, help develop and implement an operations and maintenance plan for each of the facilities. This will include but not limited to; arranging regular maintenance of the mechanical, electrical, and other systems; managing maintenance of the architectural and structural systems; implementing inventory control systems; arranging for regular and appropriate maintenance of the landscaping and outdoor facilities, and developing an efficient database system for all technical and other relevant documents.
- Develops and implements systems and processes to establish and maintain records for the facilities
- Develops and maintains emergency/disaster preparedness and recovery plans.
- Handle the security system in place
- Ensures proper care in the use and maintenance of equipment and supplies; promotes continuous improvement of workplace safety and environmental practices.
- Performs miscellaneous job-related duties as assigned.

Requirements
- Bachelor’s Degree in Civil Engineering or related discipline 5 years’ experience in facilities management position
- Working knowledge of complex electrical, mechanical and automated systems
- Demonstrated leadership skills
- Impeccable verbal and written communication skills
- Excellent project management skills
